Staff scheduling for multi-location salons

The shift-swap that lost your Tuesday morning, in graph form, and the two rules that fix it.

Nadia Khan · Growth lead, Cover Beauty · 2 April 2026

One location, ten staff, one WhatsApp group works. Three locations, thirty staff, three WhatsApp groups is a full-time job for someone. Here is what actually works at multi-location scale.

Rule 1: schedules move up, not sideways

Any shift change must be approved by a single manager per site, never negotiated peer-to-peer in a group chat. The 'sideways' pattern collapses the moment there is a conflict.

Rule 2: publish two weeks ahead, freeze one week ahead

Two-week visibility gives staff enough runway to plan. Freezing at one-week means the customer who booked six days out doesn't lose their stylist to a last-minute swap.

"We moved to a two-week publish, one-week freeze, no-shows from staff dropped 70% in a month."
